TERMS AND CONDITIONS
Hotel Bookings can only be accepted and confirmed upon receipt of the completed registration form (may be land-mailed, faxed or filled in via the site www.estsmeetings.org/2011) and receipt of the required deposit payment: 2 nights’ deposit (for reservations up to 4 nights)
If you are sharing a room with another Delegate, please book ONLY one hotel room and provide the
name of the person with whom you will being sharing.
As soon as the Organising Secretariat has received your payment, a letter of confirmation will be emailed
or faxed to you. It will confirm the name of your hotel, the room rate per night and the duration
of your stay, as well as the total cost of your stay. If the hotel category requested is no longer available,
Mondial Congress & Events will do its utmost to offer similar accommodation. This may, however,
involve a change in price category.
The number of nights booked is binding and will serve as the basis for your hotel invoice. Please note, that hotel bookings can only be accepted and confirmed upon receipt of the deposit payment required per room (2 nights). In case of complete cancellation from Wednesday, 25 May 2011, no show or early departure, the hotel is entitled to charge all nights booked. Please note that your credit card details will be forwarded to your booked hotel and that the hotel is authorized to charge the difference between the paid deposit and the hotel cost of your stay. Mondial only acts as mediator in the process of signing the travel contract.
The balance between the deposit and your total invoice must be settled directly with the hotel. All changes or cancellations must be made in writing. Due to organizational reasons we would kindly ask you to make your room reservation by Friday, 25 February 2011. Cancellations of rooms received before Friday, 25 February 2011 will be refunded, less an administration fee of EUR 35,00. For Cancellations received from Saturday, 26 February 2011 until Tuesday, 24May 2011 deposit payments will not be refunded. In case of complete cancellation from Wednesday, 25 May 2011, no show or early departure, the hotel is entitled to charge all nights booked
Only written cancellations will be accepted. Refunds will be made after the conference.
